Longbow Training Tips

This week's Longbow Training Tips are how to close and open a case, and how it affects the detailed search feature.

Closing a Case

An important feature of Longbow is closing an open case. Closing a case removes it from the open cases list within Longbow and closes all calendar events linked to the case. To walk through how to close a case as well as additional information check out the steps below.

Closing a Case:

  1. Open the case by selecting it.

  2. In the top right of your toolbar select "Close Case", and a window will pop up.

  3. The now closed status and date will be filled in for you.

  4. You can enter a sub-status and any case notes before closing the case.

  5. "Mark all open calendar and task items as closed" will be checked and will automatically mark all upcoming events linked to the case as closed.

  6. Select "Close Case".

**Note: just changing the status as closed in the File Management tab and saving it does not close the case. You must follow the above steps to close a case.

Opening a Closed Case

Once a case is closed there is no way to edit it. If something changes on the case or a note must be added you must reopen the case. Follow the steps below.

Opening a Case:

  1. Open the closed case, which should be marked accordingly when opened.

  2. In the top right of your toolbar select "Open Case", and a window will pop up.

  3. It automatically fills in the status as open.

  4. You can enter a sub-status and any case notes before reopening the case if desired.

  5. If you deselect "Retain Orginal Closed Date" it will no longer keep the original date the case was closed. Otherwise, that date will be marked on the file.

  6. Once you have set your preferences select "Reopen Case" and make any edits.

The "Detailed Search" feature in Longbow can be immensely helpful. It allows you to locate open cases by searching for the case type, file number, case name, etc. It can also allow you to search for closed cases. Check out the steps below:

Detailed Search:

  1. Open the "Detailed Search" tab on the blue ribbon at the top of your screen.

  2. Enter the necessary criteria in the drop-down or fill-in menus.

  3. To include closed cases in this search click the "Closed" box.

  4. To further organize your results select the "Filter" button.
