For this newsletter, we will take a look at some Microsoft Teams tips.


Microsoft Teams

Microsoft Teams is a beneficial tool for companies to use in order to stay up to date with their work. It is a collaboration app that allows users to communicate, meet, and work together in real-time. Users can create meetings, chat with colleagues, and share files. Below are tips to keep you on track and using Teams like a pro.


Keyboard Shortcuts

Keyboard shortcuts are a secret weapon to speed up the most common and tedious tasks. While it can take a moment to get used to once you do you are moving with incredible speed!


Here are some important keyboard shortcuts to get started:

Search: Ctrl+E

Turn off camera: Ctrl+Shift+O

Mute: Ctrl+Shift+M

Background blurring: Ctrl+Shift+P

Open your files: Ctrl+6

Open your calendar: Ctrl+Shift+B

Create a new chat: Ctrl+N

Start a video call: Ctrl+Shift+X

Open the meeting options: Ctrl+Shift+O


Search Bar Efficiency

Either select the search bar at the top of your ribbon or type Ctrl + E. Then type whatever you are looking for into the bar. When you look up a file, a person, a channel, etc, sometimes you still have to hunt through the results you get. There are ways to further filter your responses such as clicking "Messages", "Group Chats," "Files," or "Teams and Channels." But you can also try typing a filter right into the search bar. Check out the filters below.

“From:” then enter the person’s name

“In:” then enter the channel or group chat name

“Subject:” the keyword from a message or a subject line

“Sent:” the date the message was sent


File Syncing

File syncing allows Teams to add a quick access folder to your desktop via OneDrive, making it easier to access files in a matter of seconds. You can sync files to your computer using OneDrive, which runs on your desktop and keeps your files in sync. You can access the files in File Explorer and work with them directly without having to be in Teams. To create this quick access in your Files Explorer simply follow the steps below.


  1. Open the Teams panel and select the Team

  2. Click the Channel with the files you want to sync

  3. Click the Files tab

  4. Click Sync

  5. If prompted, select Yes to switch apps to Microsoft OneDrive


Save or Pin a Message

Sometimes when you are working and don't have time to respond to a message the best thing to do is save it or pin it for later. That way you don't forget you have to deal with it later, but can focus on the work at hand. To save a message simply hover over a message, click the ellipsis (…), and select "Save this Message". To find your saved messages, type "/Saved" in the search box. You can un-save messages by using the bookmark icon in the top right of each message. Pinning a message just automatically puts it at the top of your chat. To pin it hover over a message, click the ellipsis (…), and select, "Pin".


Sharepoint

SharePoint is a Microsoft platform used to store, organize, and share files and information within a team. Essentially, you can use SharePoint to manage documents and access them through the more interactive features of Teams for seamless collaboration with other Teams members. Clicking on the "Files" tab lets you share files with other Team members using SharePoint. If a file has been shared to a Channel, people on your team can use Office Online or one of its desktop apps to collaborate on it.
