This week's tech tips include protecting a Word document with a password and using Focus Mode in Word, as well as setting notification preferences in Teams.
Password Protecting a File in Word
Microsoft Word is helpful in a lot of ways. For instance, using keyboard shortcuts, talk-to-text, and grammar assistance are immensely helpful. But Word can do more than your basic spell check. It can also offer protection. If you are sending a sensitive document or you feel a document needs added protection below is how you can password-protect a document in five easy steps.
Click the "File" tab in Word
Select "Info"
Select "Protect Document"
In the drop-down menu click "Encrypt with Password"
Create a password for your document
Focus Mode
In Microsoft Word, there is a unique setting to help you minimize distractions and focus on your work. This setting is called the Focus Mode. When you activate Focus Mode in Word it puts the document in full screen, blackens the edges, and hides the toolbar. You can type normally and access the toolbar at any time by clicking the three ellipses at the top.
Check out the steps below on how to activate Focus Mode:
In the top ribbon of Word select "View"
On the left select "Focus"
Customize Your Notification Settings in Teams
Sometimes in Teams, you can receive an excessive amount of notifications most of which don't involve you. To quell this onslaught of unwanted alerts select the manage notifications button in Teams. To find out how check the steps below:
Go into the "Teams" Tab on the left side ribbon
Locate the channel you want to set notification preferences for (eg. General)
Click the three dots next to it
Select "Channel notifications"
Now select how often you want to hear from this channel
**You can also choose the hide the channel completely by selecting "Hide" from the drop-down menu**
